This notice explains what happens to your personal information when you use Swim Like You Mean It or book a drop-in session. I have tried to write it in plain English because a privacy notice should be understandable, not a wall of legal fog.

Who is responsible for your information?

I am James Nock, a sole trader, and I am the data controller for the personal information described in this notice.

Information I collect

When you book a drop-in session, I may receive:

• Your name and email address.
• The swimmer's name and age.
• Your chosen session, booking status and payment status.
• Messages or correspondence about the booking.
• Brief coaching notes where these are useful for following up after the session.

Please do not put medical or other sensitive information into the booking form. Health matters may naturally be mentioned during a conversation, but I do not routinely add that information to coaching notes. I will only keep sensitive information where there is a clear need and an appropriate legal basis to do so.

Like most websites, the server may also create limited technical logs containing information such as your IP address, browser type, requested page and the date and time of the request. These logs are used to keep the site secure and working properly.

If you accept analytics, I use PostHog to understand how people use the website. It may collect the pages you visit, interactions such as links or buttons you use, the page that referred you here, an approximate location derived from your IP address, and technical information about your browser and device. Session recording is disabled.

Why I use your information

I use personal information to:

• Arrange, provide, rearrange or cancel a booked session.
• Take payment and maintain booking and financial records.
• Send confirmations and practical information, including the Zoom joining details.
• Respond to questions, complaints or safeguarding concerns.
• Protect the security and proper operation of the website.
• Understand how the website is used and improve it, if you consent.
• Meet legal, tax and accounting obligations.

The main legal bases are taking steps at your request and performing the booking contract, complying with legal obligations, and my legitimate interests in administering the service, answering enquiries and keeping the website secure. I rely on your consent for optional website analytics.

Children's information

Where a swimmer is under 18, a parent or legal guardian must make the booking and attend the session. I collect only the swimmer information reasonably needed to provide that session. The service is not offered directly to children through this website.

Who receives your information?

I use the following services to provide drop-ins:

• PostHog provides optional website analytics using its EU service. Analytics only starts after you accept it, and session recording is disabled. You can read the PostHog privacy notice.
• GetItBooked provides the booking system and stores booking information. It treats booking operators as independent controllers for their own customer relationships. You can read the GetItBooked privacy policy.
• Stripe processes payments. I do not receive or store your complete card details. You can read the Stripe privacy policy.
• Zoom provides the video call used for the session. You can read the Zoom privacy statement.

Those providers may use their own infrastructure and subprocessors, including providers outside the UK. Their privacy notices explain where information is processed and the safeguards used for international transfers. Where I am responsible for a restricted transfer, I will make sure an appropriate legal safeguard is in place. I may also disclose information where required by law or where necessary to respond to a safeguarding concern.

I do not sell personal information or use booking details for unrelated marketing.

How long I keep information

• Booking and payment records are kept for seven years.
• Booking correspondence and brief coaching notes are kept for up to two years.
• Sessions are not recorded unless everyone taking part agrees beforehand. Where a recording is agreed, I will explain why it is needed and agree a deletion date before recording begins.
• Technical security logs are retained only for as long as reasonably needed for security and diagnostics.
• PostHog analytics information is kept only for as long as reasonably needed to understand use of the site and improve it.

Information may be kept longer where required by law or while a complaint, dispute or safeguarding matter is being handled.

Cookies and similar technologies

PostHog analytics is switched off by default. If you select 'Accept analytics', PostHog may use first-party cookies or similar browser storage to distinguish visits and understand how the site is used. You can change your decision at any time using 'Analytics choices' in the footer. I do not use this information for advertising.

The embedded booking and payment services may use strictly necessary cookies or similar technologies to provide secure booking and payment functions. These are controlled by the relevant provider and are not used by me for advertising.

Your rights

Depending on the circumstances, you may have the right to ask for access to your information, correction, deletion, restriction, objection or a portable copy. Where processing is based on consent, you can withdraw that consent. Some rights are subject to legal exceptions, including records I must retain for tax or legal reasons.
